The Assistant Project Manager (Administrative Assistant) is responsible to ensure that Glynn builds great projects.

  • Assist the department with basic Administrative support
  • Job and Work Order set ups per the Project Managers request
  • Ensuring the proper paperwork needed for the job is entered in the data system
  • Entering budgets, certificates, contacts and documents into Jobs created
  • Requesting and Tracking the following documents:

-Permits, municipality inspections, submittals, materials, change orders and contracts, as-builts

  • Constant contact with town inspection offices for scheduling and paperwork follow-ups
  • Track Jobs to be closed for closeouts and warranty work & dates
  • Creating, scheduling and running CTC meetings between Project Managers and Department he
  • Scanning and classification of project documents
  • Preparing transmittals, fax covers and general correspondence as requested
  • Constantly updating Project Manager job lists as information becomes available
  • Assist other Project Managers for larger projects or per the teams request
  • Constant communication with Project managers for job statuses
  • Updating of PM job lists and chasing information
  • Fielding of Department phone calls when needed to assist in overall department operation
  • Retrieval of W9, tax exempt, Prevailing Wage and Insurance documents
  • Billing of projects including Lien Waivers, Subcontractor Waivers and Requisitions per dates specified
